Temporary, Part-Time Private Events Coordinator

Status: Temporary, Part-Time

Term: As soon as possible through October 31, 2026

Hours: Approximately 15–20 hours per week, with occasional evening and weekend availability

Location: University Circle, Cleveland, Ohio

Pay range: $25-$30 per hour, depending on experience

Position Summary

University Circle Inc. is seeking a temporary, part-time coordinator to support private events held at Wade Oval. This person will help keep each event organized from planning through event day by tracking required materials, communicating with clients, attending planning meetings and site visits, and providing on-site support.

The coordinator will follow established UCI processes and raise potential issues, missing information or unusual requests to full-time UCI staff for direction.

Key Responsibilities

  • Serve as the primary day-to-day contact for assigned private event clients.
  • Provide responsive, professional and helpful customer service throughout the planning process and on event day.
  • Track event plans, deadlines, permits, insurance, site plans, vendor information and other required materials.
  • Follow up with clients regarding missing or incomplete information.
  • Maintain organized and current files for each event.
  • Attend client planning meetings, calls, walkthroughs and site visits as needed.
  • Document decisions, updates and outstanding items.
  • Share regular status updates with UCI staff.
  • Flag potential safety, property, permitting, contract or logistical concerns for review by full-time UCI staff.
  • Prepare event-day information and materials for UCI staff and vendors.
  • Provide day-of event support, including client and vendor check-in, site access, setup coordination, monitoring activity on Wade Oval and communicating issues to UCI staff.
  • Assist with event closeout, invoicing, site checks and documentation of any incidents or property concerns.

Qualifications

  • Two or more years of experience in event coordination, venue rentals, hospitality, customer service or a related field.
  • Strong organization and attention to detail.
  • Clear and professional written and verbal communication.
  • Ability to manage multiple events and deadlines at the same time.
  • Comfort following established procedures and escalating issues when needed.
  • Ability to work independently while staying closely connected to the UCI team.
  • Proficiency with email, calendars, spreadsheets and shared digital files.
  • Availability for occasional evenings and weekends, including private event dates.
