Summary: Since 1912, The Music Settlement (TMS) has been open to everyone wanting to learn, create, celebrate, and heal with music. Through our three centers—Center for Music (CFM), Center for Early Childhood (CEC), and Center for Music Therapy (CMT)—and Bop Stop performance venue, we provide accessible, life-enhancing music and arts experiences to people of all ages and abilities. We deliver music and arts programming that reflects the diverse needs of Greater Cleveland and serve more than 9,000 members of our community each year.

Position Title: Registrar

Classification: Full Time, Hourly, Non-Exempt

Reports To: Chair, Center for Music

Position Summary: The Registrar plays a central role in the daily operations of the Center for Music, ensuring the smooth and efficient operation of the Enrollment and Customer Service Office with a primary focus on registration, scheduling, and communication with customers. This position is often the first point of contact for students, families, and faculty, and plays a key part in creating a welcoming and supportive environment for all members of the community. The Registrar is responsible for managing all aspects of student enrollment, class and lesson scheduling, and maintaining accurate records in ActiveNet. By streamlining processes and proactively identifying and resolving potential challenges, the Registrar enhances the overall customer experience and supports The Music Settlement’s mission of providing accessible, high-quality music education. The ideal Registrar is detail-oriented, tech-savvy, and possesses excellent interpersonal and problem-solving skills.

Essential Duties and Responsibilities

  • Primary contact for receiving and processing telephone phone calls to The Music Settlement; answer questions about TMS programs and services, and route calls to appropriate personnel or department, taking messages when necessary
  • Primary point person for CFM registration; respond to questions regarding CFM offerings and assist students and families in assessing needs of new and returning students to register them with the appropriate faculty for group or private instruction; process registration changes in ActiveNet
  • Create and maintain room schedule for teaching studios and update posted schedules as needed
  • Maintain teaching schedules of CFM private lesson faculty and ensure the master schedule book is always up to date
  • Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel; monitor visitor access and issue temporary visitor passes when required
  • Receive, sort, and route mail; maintain and route publications
  • Receive and process payments for services
  • Perform other clerical duties such as filing, photocopying, and collating
  • Receive and accurately post all cash, check, and credit card payments for tuition and miscellaneous income in a timely manner
  • Close out and balance the daily cash receipts
  • Receive instrument donations and maintain instrument inventory and circulation
  • Other duties, as assigned

Educational Requirements

  • High school diploma or equivalent (GED) required
  • Associate’s degree or Bachelor’s degree preferred

Qualifications

  • Strong communication and interpersonal skills
  • 3–6 months of customer service experience required, preferably in a non-profit or school setting
  • Strong time management skills and attention to detail
  • Patience under pressure, especially when handling challenging situations with customers, faculty, and staff
  • Strong computer skills and familiarity with operating basic office equipment required; proficiency in Microsoft Word, Excel, and Outlook required; experience with ActiveNet preferred
  • Work experience in a music and/or education organization, or training as a musician or educator, preferred

Compensation & Benefits

  • Hourly Rate: $17.00-$18.50 per hour based on education and experience
