Position Summary

The Experiences Coordinator supports the execution of University Circle Inc.’s signature events and select private rentals. This role focuses on detailed coordination, vendor communication, documentation tracking, and on-site operational support to ensure events are organized, professional, and reflective of the University Circle experience.

Working closely with the Experiences Manager, the Coordinator helps translate event plans into seamless execution. This position is ideal for someone who is highly organized, dependable, and motivated to grow within event management while contributing meaningfully to the vibrancy of the district.

Key Responsibilities

UCI-Produced Events

  • Support the Experiences Manager in the execution of UCI’s signature events, including Parade the Circle, WOW! Wade Oval Wednesdays, YAY! Fall Fun, and Illuminate the Circle.
  • Conduct vendor follow-up communication, including outreach to food vendors, rental companies, entertainers, and service providers.
  • Draft and send routine event communications.
  • Track contracts, insurance certificates, W-9s, and required vendor documentation, ensuring all materials are received prior to event deadlines.
  • Maintain event checklists, timelines, and organized digital records based on plans developed by the Experiences Manager.
  • Coordinate equipment orders and confirm delivery and pickup logistics with approved vendors.
  • Assist with invoice tracking and submission.
  • Support on-site operations during event setup and teardown, escalating operational decisions to the Experiences Manager as needed.
  • Troubleshoot routine operational issues and ensure vendors and partners have accurate information during activation.

Private Event Rentals

  • Manage select small-scale private rentals from inquiry through execution in alignment with established policies and pricing guidelines
  • Serve as the on-site contact for assigned rentals during load-in and load-out.
  • Maintain organized records and track invoices for assigned rentals.
  • Support the Experiences Manager on more complex rentals as needed.

Qualifications

  • Bachelor’s degree is required.
  • Minimum of 2 years of professional experience demonstrating reliability, organization, and the ability to manage multiple priorities. Previous event experience is a plus.
  • Strong organizational skills and attention to detail.
  • Demonstrated ability to remain calm and professional in fast-paced, public-facing environments.
  • Demonstrated reliability and consistent follow-through.
  • Clear, professional written and verbal communication skills.
  • Ability to take direction, work collaboratively, and contribute positively to a team environment.
  • Sound judgment and the ability to escalate issues appropriately.
  • Comfortable working evenings, weekends, and outdoors in varying weather conditions.
  • Proficient in Microsoft Office and willing to learn internal systems and processes.
