Wade Oval Coordinator

Reports to: Chief Marketing and Experiences Officer
Status: PT, seasonal/temporary, non-exempt
Hourly Wage: Up to $20.00/hour, based on experience
Up to 29 hours per week, Non-exempt, seasonal

Typical Summer Schedule:
Role starts by June 1 and ends by August 31

  • Parade the Circle and Circle Village: Saturday, June 14 from 7:00am to 5:00pm
  • Wade Oval Wednesdays: every Wednesday between June 18 and August 20 from 2:00 p.m. – 10:00 p.m.

JOB SUMMARY

The Wade Oval Coordinator is a part-time, as-needed, seasonal role for summer events. They are responsible for the logistical execution of events held at Wade Oval. This role involves overseeing event setup and teardown, managing concessions, coordinating materials, and ensuring a seamless experience for attendees. The ideal candidate will be detail-oriented, proactive, and capable of working in a dynamic, outdoor environment.

Specific Job Duties

  • Coordinate and execute the setup and dismantling of event infrastructure, including tables, chairs, tents, stages, and other necessary equipment.
  • Ensure all setups are completed promptly according to event schedules and safety standards.
  • Operate the concessions kiosk, including selling food, beverages, and other merchandise.
  • Maintain an accurate cash register and handle transactions efficiently and courteously.
  • Utilize a golf cart to transport materials and equipment around Wade Oval.
  • Set out and arrange event signage and directional markers to guide attendees and provide necessary information.
  • Manage inventory and restock the beer/wine tent as needed throughout events.
  • Provide on-the-ground support during events, addressing any logistical issues that arise.
  • Assist event participants, vendors, and attendees with their needs, ensuring a positive event experience.

QUALIFICATIONS

  • 1+ year of experience working in events, project management, and/or community engagement
  • Able to work a flexible schedule almost always on evenings and weekends
  • Driver’s license and reliable transportation
  • Able to lift and move up to 50 pounds
  • General knowledge of event infrastructure (electrical, signage, rentals) and a strong willingness to learn new things and technology
