Main Responsibilities
Administration
• Sets and maintains standards of professionalism, ethics, and consistency in day-to-day operations and relationships with staff, Board of Trustees, Archived Artists (current and potential), General Members, and the public.
• Oversees daily operation of AAWR; advises, collaborates with, trains and reviews staff; maintains personnel files; leads monthly staff meetings; maintains calendar of organization activities; maintains manual of operating procedures; documents all activities.
• Assures that standard museum preservation and conservation policies governing the collection are met.
• Documents and maintains records (i.e., professional, financial) on Archived Artists and potential Archived Artists; develops and oversees organization and maintenance of AAWR Library.
• Promotes and represents AAWR to potential Archived Artists and general members, funders; other local community and arts organizations; participates in mutually beneficial programming with these organizations.
• Establishes and revises policies as needed with assistance of staff and with approval of the Policy Committee.
• Assesses effectiveness of programming and meeting the needs of constituents—Archived Artists, Artist and Patron Members, students, scholars, historians, and members of the community of all ages—through routine evaluations with staff and Board of Directors.
• Schedules and plans meetings; maintains records for the Board of Directors; assists Nominating Committee in orientation of new Board members; facilitates Committee activities with follow-up as needed.
• Maintains historical records of AAWR, both photographic and written.
• Oversees Office Manager’s work in maintenance of Membership and Archived Artists databases.

Financial
• Develops the annual budget, including its presentation to the Finance Committee (Board of Trustees), and maintains responsibility for operating in-line with the budget approved by the Board of Trustees.
• Supervises the Office Manager and his/her maintenance of accurate financial records and appropriate accounting practices; assists the Finance Committee in their management of the Endowment investments.
• Works with Finance Committee to develop and control the budget; assist Finance Committee in their management of the Endowment and investments; maintains accurate financial records and appropriate accounting practices.
• Solicits financial support from individuals, foundations, corporations, and government agencies, for both operating expenses and projects.
• Maintains professionalism and consistency in grant procedures, completing reports according to the protocol specified by each grant maker.
• Coordinates Annual Fund Campaign and Annual Membership Drive with assistance from staff, volunteers, and appropriate Board Committees.
• Assists Fundraising Committee as necessary in coordinating Annual Fundraiser and other fundraising events throughout the year.

Programs
• Participates with Recruitment and Peer Review Committee in Archived Artist Recruitment Program; coordinates periodic informational meetings for potential Archived Artists; assists Recruitment Committee with nurturing of relationships with candidates and continuous personal contacts; facilitates admission process for newly Archived Artists, including consultation with Finance Committee on setting up payment plans, signing of legal documents; keeps all forms current.
• Oversees Exhibition Program and related promotional materials.
• Supervises interns and volunteers to assist with the Oral History Program, cataloguing, and clerical duties.
• Sets the activities of the Outreach program, which includes educational programs such as student-curated exhibitions, gallery talks, studio visits, workshops open to artists, members, students, and community members of all ages.
• Works with Public Relations Committee to plan and implement methods for communicating information about AAWR’s resources and programs to the public through the website, news releases, articles, interviews.
• Oversees staff and volunteer efforts in areas of group visits, workshops, and special events.
• Works with the Development Committee to develop grant applications; submits grant applications in a timely manner and monitors the application process; maintains a grant application calendar; researches new opportunities for grants and gifts; and complies with all grants management and reporting requirements.
• Works with the Marketing Committee to coordinate and implement programs to build and promote the brand of the Artists Archives in the community.
• Leads and executes activities for Color Me Cleveland, a major AAWR community and fundraising event, and communicates to the Color Me Cleveland Committee chairperson on planning and milestones for the event. Seeks funding, corporate sponsorships and donations for Color Me Cleveland; coordinates with the Committee on artist location assignments, hospitality arrangements, private receptions and the grand gala Paint Ball that caps the event activities.

Qualifications
• Bachelor’s degree in Art History, History, Visual Arts, Anthropology or a related field and/or a certificate in Arts Management or Nonprofit Management.
• Three years of arts management experience required. Experience in knowledge management, museum management or library science considered a plus.
• Demonstrated experience and success in grant writing; fundraising and development; event coordination; program planning and execution; nonprofit marketing; volunteer coordination and development; and membership development.
• Well-developed interpersonal skills; energetic, strategic thinker; flexible and adaptable; able to handle multiple priorities simultaneously.
• Experience with software programs (Microsoft suite including Word, Web design, graphic design, and database management) preferred.
• Experience in developing and producing marketing collateral material (print and electronic) preferred.
